To provide a first-class experience to club members and their guests, as well as private member event guests.
Essential Functions and
Responsibilities:
Responsibilities include sales, contracting, planning, and execution of all special events held at OBYC as well as assisting Club Managers in maintaining daily operations of club.

Responsibilities:
Maintain social media accounts for the clubhouse including scheduling weekly posts, managing content, increasing followers, etc.
Qualify special event inquiries and follow up with introduction packet Follow up with inquiries from prospective clients through OBYC website, WeddingWire, The Knot, SquareSpace, direct email, social media, phone inquiries, & other lead sources Schedule & Perform site visits given to prospective special event clients Manage lead conversion through contract of sited clients Complete contracting process with review of agreement, client signature, obyc representative client signature and booking of event Maintain Preferred Vendor List Options, Vendor Relationships, and Required Vendor Insurance Documentation Create and maintain Event files, gathering information as it arrives from client/member Coordinate Menu Tastings/Planning Meetings prior to special event date; request food tasting selections, create Tasting Event Orders, and planning documentation Following Planning meeting, create final Banquet Event Orders, Estimated Invoice, Detailed Timeline, and Seating Diagram to send to client Distribute fully-executed Banquet Event Order to key staff once client & management have signed In conjunction with BEO, update other planning documents with requested changes and finalize with client Set up finalization meeting for event week; develop log of clients personal items and placement in club on event day, review timeline for last-minute changes Create abbreviated list of event flow for review prior to event day Revise and distribute final timeline to key staff; produce copies for outside vendors Complete to-do list for Maintenance Staff Confirm all vendors including OBYC Staffmember duties Coordinate & Lead private Event rehearsal if applicable Event Day:
Meet and exceed client's needs and expectations, place client's items in designated areas in Club House, etc.
, follow timeline checking on vendor arrivals, direct and facilitate the flow the event from start to end of day with all outside vendors, clients, guests, and in house OBYC Staff Conclusion of Event:
Gather Clients personal items, pack any personal items in boxes, bags, etc.
, pack cart with items, gifts, and hand deliver to designated individual, assist them in packing personal items in vehicle Send follow-up letter to Client 30 days following private event, requesting write up on social media sites and online marketplaces Assist Club management in daily operations of club including but not limited to:
supervising and communicating with staff, contacting vendors, communicating with members in regards to reservations or any other needed assistance Maintain partnership and communication with in-house Social Committee Chairman & members in planning of any and all special or weekly member events Manage the planning, coordination, food & beverage selections, BEO distribution, and day of execution of any and all special or weekly member events Serve as the direct report for the event assistant position.
Responsible for training, delegating weekly responsibility, and managing the events assistant.

Estimated Salary: $20 to $28 per hour based on qualifications.
