Summary:
This position is responsible for day-to-day oversight of the office operations including the management of the Front Office Coordinator and their duties.
This position also has primary responsibility for patient clinical care as directed by the Provider.
This includes taking vital signs, dressing changes, making referrals, scheduling surgeries, documentation into the Electronic Medical Record, assisting the Provider with office clinical procedures, and other clinical duties as may arise.
This position works in the office approximately 40% of the time and remotely approximately 60% of the time.
The successful candidate must be able to work independently and productively from both the office and remotely.
Primary Job
Responsibilities:
1.
Patient care responsibilities as assigned, which may include scheduling and organizing patient flow, accompanying patients to exam/procedure room, assisting patients with transfer to exam table if needed.
2.
Assess patients' general condition and collection patient history.
3.
Document health history, activities, medication lists, etc.
in the medical record.
4.
Provides basic patient care as ordered by Provider and assist Provider with various procedures.
5.
Provides patient education materials and communicates Provider advice/instructions to patient.
6.
Wound dressing changes.
7.
Suture and staple removal.
8.
Procedure tray set up.
9.
Obtain lab/x ray reports.
10.
Schedule surgery, hospital procedures and pre/post op appointments.
11.
Schedule imaging and other ancillary services.
12.
Clean and stock exam rooms.
13.
Schedule referrals to other Providers.
14.
Adheres to infection control//safety guidelines and confidentiality policies.
15.
Compliance with HIPAA, OSHA and other regulatory requirements.
16.
Uses customer service principles and techniques to deal with patients calmly and pleasantly.
17.
Follows all Clinic policies on safety and security; maintains restricted areas safe by safeguarding access to clinical areas, computer screens, and any other information or documents for which strict confidentiality is required.
18.
Responsible for keeping the clinical areas clean and organized.
19.
Monitors clinical supplies and inventory needs.
20.
Performs other duties as assigned.
Secondary Job
Responsibilities:
1.
Given the small number of staff in the office, it is imperative that the individual become trained, capable and willing to fulfil all duties of the Front Office as the need arises.

Education:
High School Diploma or Equivalent, Medical Assistant program
Experience:
One year of experience as a Medical Assistant in a surgical practice setting.
Education/Certification/Licensing Requirements:

While the office maintains a normal business day schedule, medical care is sometimes unpredictable.
There may be occasions when the office needs to be open beyond the posted closing time.
The position requires a modest amount of flexibility in this regard.

Knowledge of medical terminology and organizational services.

Knowledge of staff responsibilities to accurately direct callers.
3.
Knowledge of administrative processes, procedures, claims processing, and preparing patient charts.

Knowledge of basic math and moder office procedures.

Ability to manage people, communicate effectively and make mature, emotionally educated decisions in order to fulfil the successful operation of the office.

Ability to use multi-line phone system, including transferring calls and paging.
3.
Ability to exercise a high degree of diplomacy and tact while multi-tasking, organizing and scheduling patients.

Ability to make decisions and solve problems.
5.
Ability to perform Medical Assistant clinical duties including dressing changes, taking vitals, assisting Provider, etc.
6.
Adequate hearing to answer phone and speak with patients.
7.
Ability to speak clearly and loudly enough to be heard by callers and patients.
8.
Ability to speak in grammatically accurate English to communicate with patients.
Abilities:
1.
Ability to work well under pressure with minimal supervision.
2.
Ability to communicate clearly with Provider and Patients.
3.
Ability to receive instruction/direction from Provider and promptly and accurately complete the assigned instruction.
4.
Ability to prevent, calm, and/or defuse irate callers and patients working with them to identify concerns and properly adjudicate.
Equipment Operated:
Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment:
Well-lit medical office or reception area.
Exposure to communicable disease and other conditions related to a clinic setting.
Work may be stressful due to a busy office.
Mental/Physical Requirements:
Must possess the physical and mental abilities to perform the tasks normally associated with a Medical Assistant position involving sitting approximately 50% of the day with the other 50% involving standing, walking, reaching, and lifting.
Periodic stress occurs from handling many calls and dealing with patient requests.
